Job Summary:

Voyager is seeking a highly motivated and proactive Senior Executive Assistant to join our growing organization. In this role, you will support professionals and projects, acting independently to anticipate needs while managing the day-to-day workflow and deadlines, including scheduling, travel, contract management. The ability to understand various functional priorities, optimize opportunities and create bridges while working collaboratively across organizational lines is a must.

Voyager maintains a hybrid-work approach and while there may be variance occasionally, you will primarily work out of the Lexington office with occasional travel to Voyager’s Cambridge site.

Key Responsibilities:

  • Proactively plan, lead, organize, and manage executive business support activities, including schedules/calendars, prioritizing, and managing conflicting responsibilities in a fast-paced and dynamic environment.
  • Provide frequent updates with proactive communication regarding daily, weekly, and monthly objectives.
  • Consult with cross-functional departments to facilitate meetings with internal/external partners, alliances, and resources. Related to this, anticipate, and ensure internal/external guest meetings/events run efficiently and on time.
  • Coordinate travel arrangements, proactively anticipating alternative solutions as needed, and prepare and proactively maintain itineraries with a flexible and adaptive style.
  • Accurately track individual travel expenditures, prepare, and submit expense reports.
  • Prepare, coordinate, and execute verbal and written communications with meticulous detail and accuracy.
  • Maintain discretion and open lines of communication that represent Voyager effectively with internal and external groups.
  • Provide back up to the EA Team.
  • Will occasionally troubleshoot travel issues, monitor out of policy employee travel arrangements and act as liaison between the travel agency and the management team.
  • May occasionally handle special ad-hoc projects as the needs arise for the executive team and the company.
  • May occasionally assist with departmental and company-wide meeting, and special event planning and execution.
  • May occasionally attend to personal requests (e.g., errands, setting up appointments etc.).
  • Function as an ambassador for Voyager company culture and values, which include Patients First, Better Together, Unwavering Resolve, and Innovate Boldly.

Qualifications

  • Professional with 7+ years of executive administrative experience required.
  • Prior experience as an administrative assistant in the biotech/ life sciences industry required.

  • Advanced proficiency in Microsoft Office software (Word, Excel, PowerPoint, and Outlook).

  • Positive interpersonal skills (enthusiastic, upbeat) with a team-first mindset and the ability to interface effectively with a wide variety of internal and external stakeholders.
