Sr. People Operations Specialist

Position Overview:

Our People and Culture team seeks an energetic, vibrant, and creative Senior People Ops Specialist. Our team is small but mighty, and we work together and have fun together! Reporting to the Director of People, the People Operations Specialist is an employee-facing role that will partner across functional teams and will primarily support benefits administration, recruiting efforts, employee engagement, and recruiting efforts. This role will be onsite (can be hybrid with a minimum of 3 days in office requirement).

Key Responsibilities:

Benefit Administration

  • Administer NGM’s benefits programs, including systems, communications, and enrollment. Interpret policies and leverage resources to serve as a primary support resource to employees on benefits-related matters. Assist annual benefits renewal in collaboration with the Benefits broker and People and Culture Director. Lead NGM’s benefits open enrollment process. Monitor benefit enrollments, terminations, changes in coverage, and audits as necessary. Review and reconcile invoices and work with brokers/vendors to resolve issues.
  • Coordinate with employees and direct them to our Leave of Absence (LOA) administrators. Ensure that leave programs are administered accurately and consistently with our established policies. Provide payroll guidance on the pay during the leave of absence per LOA administrator guidance.
  • Review and reconcile monthly medical, dental, vision, and welfare benefits billing. Work closely with cross-functional teams such as Payroll, Accounting, and FP&A.

Employee Engagement

  • Contribute to building a culture of synergy and connectiveness, by working collaboratively with cross-functional teams on engagement events and initiatives.
  • Help develop and launch employee engagement and pulse surveys, gather data, and run reports and analytics.

Talent Acquisition

  • Management of recruitment efforts, including creating and posting job descriptions, screening resumes, and scheduling interviews.
  • Manage onboarding and offboarding processes to ensure a positive employee experience.
  • Manage recruiting and sourcing platforms like Greenhouse and LinkedIn.
  • Continuous improvement of recruiting process and candidate and hiring manager experiences.
  • Be an ambassador for the candidate’s experience.
  • Administer, track, and monitor consultant/contractors onboarding/offboarding.
  • Work closely with FP&A team on budgeting and forecasting headcount.
  • Promote and advise on referral process and track employee referrals, as well as retention bonus payouts.
  • Consult Immigration attorneys and coordinate Immigration matters to support new hires and existing employees on visas.

Ad hoc support

Supports the People and Culture Team on a variety of deliverables and projects as needed, such as responding to audit requests, setting up new vendors, submitting purchase orders, etc.

Qualifications:

Education and Experience

  • Minimum 5 years of related experience with a bachelor’s degree or 3 years and a master’s degree comfortable using an applicant tracking system or relationship management or 5+ equivalent experience with an associate degree in addition to training/certification.
  • Some Experience in Recruiting and Benefits Administration

Skills and knowledge

  • Proficiency in Microsoft Excel and experience with HR systems/vendor platform reporting tools.
  • Excellent attention to detail, analytical and problem-solving skills, with the ability to use data to drive decision-making.
  • Strong communication and interpersonal skills, with the ability to interact effectively with all levels of the organization.
  • Ability to work effectively in a fast-paced, dynamic environment and manage multiple priorities and deadlines.
  • Ability to maintain confidentiality and handle sensitive employee data with discretion.
  • Knowledge of labor laws and regulations related to HR data management and reporting.
  • Team player and willing to learn and grow.

The position is based at NGM Bio’s South San Francisco office, and a regular on-site presence is expected.

At the time of posting, the wage range for this role at the Sr. People Operations Specialist level is $93,100 to $120,500 per year for candidates located in the Bay Area.
