Job Summary
The Administrative Assistant is crucial in supporting the efficient operation of multiple functional teams in the Clinical Department by providing administrative and organizational assistance. This role involves handling a wide range of diverse tasks; from managing daily activities/calendars, assisting with functional team coordination and interactions, as well as general administrative support. The Administrative Assistant ensures smooth daily operations by effectively multitasking and collaborating with colleagues.
This role will be hybrid, with 2 days on-site at our Cambridge, MA location.
Position Responsibilities
- Assist with a broad range of administrative tasks that facilitate the functional leader’s ability to effectively lead their team, including assisting with special projects, coordinating internal and external meetings, and completing expense reports.
- Arrange travel itineraries, accommodations, and logistics for functional team members attending conferences, meetings, and other events.
- Act as a liaison and handle logistics for meetings and events.
- Manage some interaction between upper management and employees, liaising with internal and external partners on various projects and tasks, coordinating complicated scheduling and calendar management.
- Maintain open communications with the team and work closely with the other Administrative Staff to ensure high quality and consistent support to the broader Cullinan team.
- Aid in functional team’s meeting organization, scientific conferences, and Ad Board meetings.
- Assist in various ad-hoc tasks, projects, and assignments that contribute to the overall efficiency and success of the functional teams.
Candidate Requirements
- Minimum of 3 years experience as an Administrative Assistant.
- Enjoy multitasking and working in a dynamic environment.
- Strong organizational and time management skills to effectively handle and maintain a realistic balance among multiple priorities.
- Problem solver with the ability to exercise sound judgment in a variety of situations.
- Keen attention to detail.
- Excellent communication skills, both written and verbal, for effective interaction with colleagues and stakeholders.
- Strong teamwork and interpersonal skills, willing to collaborate across departments.
- Proficiency working with MS Office Suite and ability to learn other administrative systems typically used for expense reporting and travel planning.
